The power of MailFlow is not in AI. But in your organization

Intelligent Growth Identity Solutions, built for what’s next!

Email as a starting point
In many organizations, email is the starting point of almost every process. Customer questions, quotes, schedules, changes and internal coordination all arrive via the mailbox.
Ultimately, it is not reading emails that takes the most time, but everything that happens afterwards. Assess, follow through, process and follow up.
MailFlow automates those next steps. So that employees can focus on the work in which they really make a difference.
Not a standard AI solution
Every organization works differently. Employees make different choices, use different systems and communicate in their own way.
That’s why we don’t start with AI, but with the organization. We translate the identity, knowledge and working methods of your organization into one intelligent foundation. Based on this, MailFlow not only learns what is in an email, but also how your organization deals with it.

From inbox to overview
A full mailbox is often not the biggest problem. The problem is manually assessing what to do with it.
MailFlow analyzes incoming emails, recognizes what they are about and prepares the right next step. Think of categorizing, determining priorities, preparing information or preparing a draft answer.
This creates a better overview in the mailbox, without employees having to read and process every email completely manually.

What does MailFlow deliver?
- Less manual work.
- Shorter response times.
- More overview.
- Less dependence on individual employees.
- Less chance of errors.
- More time for customers and substantive work.

Product: Email flow
AI-driven processing of incoming emails and customer queries
Practical example | Maritime service provider (25 employees)
The challenge
A growing maritime organization processed more than 300 customer emails every week. Information was spread across mailboxes, systems and employees’ heads. As a result, the handling took a lot of time and deviating customer questions were regularly returned to the same colleagues.
Our approach
We didn’t start with AI, but with the organization.
Together we mapped out how customer questions were assessed, what knowledge was required, what considerations were made and how the organization communicated with customers. We then translated the identity, knowledge and working methods of the organization into oneintelligent foundation.
Based on this, we developed an AI-driven email workflow that analyzes and categorizes incoming messages, enriches information and supports employees in handling them. Not based on a standard AI model, but based on how this organization itself works.
The result
- Less manual work when processing incoming emails
- Faster and more consistent follow-up of customer questions
- Less dependence on individual employees
- An intelligent foundation on which new AI applications can build.
An intelligent foundation is the digital translation of an organization’s identity, knowledge and working methods. It forms the foundation on which any AI application can build.
“A lot happened within the organization, but valuable stories and insights did not always reach the right place. Thanks to the workflow that has been set up, we have more overview, less manual work and we can communicate much more consistently. What is especially valuable for us is that communication is now better aligned with the goals we want to achieve as an organization.”

Our starting point is simple: not the most complex solution, but the solution that adds the most value.
Why did we develop MailFlow?
During organizational analyses, we saw the same thing over and over again. Employees spent a lot of time reading, reviewing and processing emails. In addition, a lot of time was unnecessarily lost searching for messages, determining who had picked up something and figuring out what the right next step was.
That’s where we saw an opportunity. Not to replace employees, but to organize recurring work smarter and make knowledge more accessible.
MailFlow was created from that idea. Not a standard AI solution, but an intelligent email workflow that matches the identity, knowledge and working methods of an organization.
